How To Complete The 10% Report

Sandhills uses a universal Orientation Quiz for the entry date for online classes, the online portion of hybrid classes. The eLearning team provides an Orientation Quiz (i.e. Fall 2024 Orientation Quiz) in every course template. This quiz should not be altered in anyway except for the due date to follow the course 10% date, and it must be used for the 10% report.

Both Distance Learning and the Registrar’s Office require you to complete a 10% report; however, the proceses are different. Please refer to the table below.

  • Required for online and hybrid courses only
  • Required for ALL classes (face-to-face, online, and hybrid)
  • Uses CX Manager to upload 10% reports for online and hybrid courses.

    NOTE: Hybrid courses have the option to upload their 10% report in CX Manager or to upload it in their course and hide it from students.

  • Uses Self-Service to enter in students’ entry dates.
  • Logs must be manually exported from Moodle courses using the orientation quiz included in the template or the first activity done by the census date (assuming students didn’t follow instructions).
  • No log exports are required; HOWEVER, the orientation quiz submission date.

    If online or hybrid students did not follow instructions for completing the orientation quiz, any activity completed by the census date can be used as an entry date.

    For face-to-face courses, their first day attending class can be used as the entry date.

  • No hard deadline to upload reports, however, we appreciate it earlier rather than later.
  • Hard deadline is communicated as to when 10% entry dates must be submitted.

 

To get the needed data, you will need to complete the following steps:

  1. Login to your course in Moodle.
  2. In your course navigation toolbar, select the Reports tab > Logs

  3. Under “Choose which logs you want to see”, select the following from the drop down menus:
    1. Course: The current course should be selected by default.
    2. Participants: All participants should be selected by default.
    3. Days: All days should be selected by default.
    4. Activities: Click the drop down and choose the activity that establishes the course entry point, Fall 2024 Orientation Quiz.
    5. Actions: Click the drop down arrow and choose “Update”. Update will produce a list noting when students actually submitted the quiz.
    6. Sources: Leave as the default, “All sources”.
    7. Events: Leave as the default, “All events”.
    8. Standard log: Leave as the default, “Standard log”
  4. Click Get these logs.
  5. Scroll to the bottom of the screen and beside “Download” make sure “Comma separated values text file” is selected. It is the default so it should already appear.
  6. Click Download.
  7. Depending on the web browser you are using:
    1. The file may automatically go to your Downloads folder (check the bar on the bottom of your screen).
    2. If a popup appears, choose the browser’s option to download or save the file to your computer and not open (as this makes the file incompatible with CX Manager).

NOTE: The file name will be in a similar format to – logs_2024FA-XXX-XXX-N01_2024011824-1217.csv.

For traditional courses:

Uploading the 10% report is currently optional. However, you can follow the instructions for either hybrid or online courses as this may change in the near future.

For hybrid courses (Option 1 – Save File in Course):

NOTE: This option is only applicable to hybrid courses. Fully online courses should not follow these steps.

  1. In your course, click the “Edit Mode” toggle button to enable editing.
  2. In the top block (block 0) of your course, select “Add an activity or resource”.
  3. Select “File”.
  4. Name the file accordingly, and upload the csv you just downloaded.
  5. Under “Common Module Settings”, ensure you hide this file from the students!
  6. Click “Save & return to course”.
  7. Move that file directly under the “Orientation Quiz”.
  8. NOTE: If you are teaching a “momma and babies” course, your logs will show data for all the students so you only need to put the file in the momma course (that is turned on).

For totally online courses and/or hybrid courses (Option 2 – CX Manager):

NOTE: This option is applicable to fully online courses AND hybrid courses. Hybrid courses can choose to upload the file in CX Manager or save it within their course using the steps above.

  1. Go to CX Manager, which is the same system we use to turn in syllabi (Sandhills home page > Faculty & Staff link at the bottom of the site > CX Manager).
  2. Login to the system using your username and password.
  3. Click “Online 10% Rosters”.
  4. Click the drop down beside “Select One” and chose the appropriate online class from the list.
  5. Click Browse and navigate to where you saved the file:
    1. If the file is still showing in the bar at the bottom of your web browser, right-click or click the ^ and select “Show in folder” to find it.
    2. Check your Downloads folder.
  6. Double click the filename to load the file into the system (or click the Open button). The filename will appear beside the Browse button.
  7. Click Submit.
  8. The course name now appears as a link under Current Semester.
  9. Click the course link to display the 10% data for the course – please make sure it is legible, if not please email eLearning to have it deleted.

If you know that a student has done another assignment rather than the Orientation Quiz (after we get them glasses!), the easiest thing to do is to:

  1. Run the report for the quiz as normal
  2. Upload that file to CX Manager as normal
  3. Back in Moodle run a separate report for justthat student and justthe other assignment they did before the census date
  4. Upload that file to CX Manager as well – that system is designed to combine the two files so one file will show all the first work students have done

Important Notes:

  1. It is a red flag to the auditor if all the ENTRY dates are the same for an online course.
  2. It is very important to make sure your roster entry dates match the file. The auditor actually compares the two.
  3. When you report a student as “Never Attended”, the student will not be removed from your Moodle course until the roster is processed by Student Services. To immediately deny the student access to the course, block the student by completing the following steps:
    1. While in the course, click on the “Participants” tab.
    2. Click the pencil edit icon next in the Roles column for that student.
    3. Click in the drop down and select “Blocked Student”.
    4. IMPORTANT – click the tiny save icon (disk) next to the roles to save the additional role before leaving the page!
      The student will still be able to see the course under the Courses link. The student will also be able to enter the course but when he/she clicks on an item, a message will appear denying access.
      It is not necessary to remove the student from the Student role. The automatic enrollment process will remove the student.
